Position Overview: The Insurance Operations and Marketing Assistant plays a crucial role in client service, marketing, and administrative support for the financial advisor and the team. This role helps build and enhance client relationships and promotes the team’s services to prospective clients and the public.
Key Responsibilities:
Marketing:
- Update and maintain social media presence.
- Schedule client appointments for the financial advisor and the team.
- Coordinate client loyalty programs and events.
- Promote the client website and assist clients with enrollment.
- Generate and implement marketing programs via contact emails/letters.
Insurance Operations and Support:
- Follow up with clients/prospects through email and mail regarding forms.
- Handle incoming service requests including address updates, banking information, and other inquiries.
- Prepare information for the advisor’s client meetings.
- Review insurance applications, conversions, and policy changes for accuracy.
- Act as a liaison between clients and home office underwriters during the underwriting process.
- Arrange necessary medical, paramedical, and other exams for underwriting.
- Monitor Items for Attention and inform the advisor of any action items.
Administrative:
- Track client interactions using CRM software.
- Electronically file new account forms and other insurance/investment-related materials.
- Maintain the financial advisor’s calendar, scheduling follow-ups and client review appointments.
- Review meeting notes, discern action items, and distribute tasks for team operations.
Qualifications:
- Obtain life and health insurance license within the first 3 months of employment, if not already licensed.
- Preferred: Customer service experience.
- Ability to multitask with strong organizational and time management skills.
- High attention to detail and accuracy.
- Ability to build meaningful relationships with the clients we serve.
- Work well independently in a fast-paced environment.
- Excellent interpersonal, written, and oral communication skills.
- Maintain a high degree of confidentiality.
- Social media marketing experience is a bonus.
