Job Description:
Summary The Real Estate and Capital Planning department seeks a qualified candidate for the Contract Administration Coordinator role. This position coordinates contract administration for publicly bid construction projects from conception to completion. The successful candidate will ensure contracts adhere to Iowa Board of Regents policies and maintain positive, timely communication with both vendors and internal stakeholders. The ideal candidate will have strong organizational and communication skills, attention to detail, and the ability to manage multiple projects simultaneously to maintain compliance and enhance contract performance. Example of Duties
– Prepare and process project, contract-related documents for publicly bid projects.
– Interact with and maintain close working relationships with project and senior management, external contractors, internal and external customers, and the public.- Conduct meetings, prepare presentation materials, and attend bid events, such as prebid, preconstruction meetings, and others as required. – Conduct review and quality control of documents during the bidding process and as needed.
– Process constructor payments, change requests, and change orders.
– Handle post-construction and closeout processes for publicly bid capital projects.
– Respond to inquiries and resolve issues for all project staff and stakeholders.
– Provide support in gathering project data collection and formulating reports, such as the Targeted Small Business reporting with Procurement and ISD.
– Assist in managing record retention & maintaining procedure manual.
– Provide back-up support for other Contract Administration team members.
