Job Description:

In the role of Finance Assistant, you will provide accounting and administrative support to the Accounting, DATS (Data, Analytics & Technology Services), Donor Compliance Services, and Gift Administration teams.

Core Responsibilities include but are not limited to:

  • Prepare and submit invoices and prepare journal entries for various budget corrections and transfer requests.
  • Assist with mailing of receipts, pledge reminders, and miscellaneous letters.
  • Track unit budgets and expenditures; assist with budget preparation, budget reporting, and reviews.
  • Interact with vendors to track invoices, recurring expenses, software subscriptions, expirations, etc.
  • Coordinate calendars and schedule meetings for Finance and DATS team members, including preparing agendas, posting materials, and taking notes/meeting minutes.
  • Prepare professional development requisitions, expense reports, invoice payment requests, and other departmental forms as requested.
  • Coordinate travel activities as requested – research options, submit travel requests, and make air, hotel, and rental car reservations.
  • Assist with mail room processing, schedule and provide support for staff training sessions, and other assorted administrative activities.

 Qualifications

Education & Work Experience

  • High school graduate or GED, associate degree preferred.
  • 3 years of accounting/bookkeeping experience required. Education may be substituted for years of work experience.

  • Strong communication skills (both written and verbal), professional judgment, organization planning, diplomacy, and professionalism.
  • Must be able to handle a number of activities simultaneously with attention to detail and adherence to deadlines and accuracy.
  • Ability to work independently and as part of a team. Must be adaptable, flexible, and self-directed.
  • Must be proficient in Microsoft Office suite of applications and possess the ability to learn in-house computer systems.
  • Must adhere to strict confidentiality standards.

FLSA Status: Non-exempt
