Required Minimum Qualifications:- Any combination of progressively responsible related clerical office experience, related undergraduate education, and/or post high school clerical training that is the equivalent to four years of full-time employment.

Preferred Qualifications:Experience with Computerized Maintenance Management Software (CMMS) for key management or building access control systems, including troubleshooting or auditing processes like TMA or similar platforms.

Prior experience in key management or building access control systems.

Demonstrated experience in facilities management or building access operations.

Experience coordinating access needs and building operations with contractors, staff, and students.

Experience managing administrative tasks involving data, auditing processes, and reporting in Excel or other spreadsheet software, along with troubleshooting basic system issues.

The Department of Residence at Iowa State University is seeking a skilled professional to join our team as a Key Coordinator . In this role, you will manage the processing and tracking of key and building access for staff, students, and contractors across campus. You’ll ensure lock changes are handled efficiently and coordinate key and card access requests in collaboration with the locksmith team. This position involves maintaining and updating records in our Computerized Maintenance Management Software (CMMS) and managing data from TMA and Velocity systems to ensure accurate record-keeping and reporting in Excel.

In this role, you’ll collaborate with various teams to maintain complex databases and troubleshoot any simple system issues that arise. Your ability to advise and interpret policies, manage intra-unit operations, and compose relevant correspondence will be vital to keeping operations running smoothly. If you have strong organizational and computer skills, along with a talent for problem-solving and attention to detail, this role offers an exciting opportunity to contribute to the seamless operation of Iowa State University.

This full-time position offers a consistent Monday to Friday schedule from 7:30 a.m. to 4:00 p.m., with the potential for minimal weekend work during key periods such as move-in/out weeks. Characteristic Duties and Responsibilities

+ Researches information, prepares, reviews and analyzes documents, such as reports, applications, records etc., applicable to a specialized subject area requiring independent informational search and a knowledge of the policies and procedures of both the assigned and related work areas.

+ Creates and maintains a database that requires specialized subject matter knowledge.

+ Analyzes the data to maintain the database and generate reports.

+ Troubleshoots simple database problems for staff.

+ Advises staff, faculty, and others requiring interpretation of policies and regulations of specific projects or programs in assigned work area.

+ Coordinates intra unit and interunit operations and procedures and participates in regular staff meetings to discuss and assist in developing operational policies and procedures.

+ Composes correspondence requiring judgment in the application of policies and procedures in both the assigned and related work areas.

Knowledge, Skills, and Abilities

+ Knowledge of institutional and unit policies, processes, and forms.

+ Knowledge of format and clerical procedures to arrange a variety of material from different sources in a coherent and logical manner.

+ Knowledge of grammar, spelling, punctuation, and capitalization.

+ Skill in utilizing computer software packages and online systems to develop unit-specific applications.

+ Skill in operating office equipment.

+ Ability to communicate effectively with staff, students, and the public.

+ Ability to make decisions requiring interpretation and judgment.

+ Ability to follow oral and written instructions and interpret institutional and other policies accurately.

+ Ability to gather, analyze, and display data in appropriate format and keep accurate records.

+ Ability to organize and prioritize multiple tasks.
